Position Summary
The Bookkeeper is responsible for performing accurate, timely, and consistent day-to-day
bookkeeping services for assigned clients using QuickBooks Online (QBO). This role
focuses on transaction processing, reconciliations, and supporting monthly close activities
under the direction of the Senior Bookkeeper and Controller.
The Bookkeeper plays a critical role in maintaining financial accuracy, adhering to internal
processes and SOPs, and ensuring clients receive reliable financial data to support
decision-making.
Work Schedule
• Monday – Friday, 8:00 AM EST – 5:00 PM EST
• Full-time position
Key Responsibilities
Bookkeeping & Financial Accuracy
• Perform full-cycle bookkeeping for assigned clients using QuickBooks Online (QBO).
• Maintain accurate and organized general ledgers.
• Categorize and classify transactions in accordance with accounting best practices.
• Reconcile bank, credit card, and loan accounts on a monthly basis.
• Monitor bank feeds and ensure completeness and accuracy of transactions.
• Identify and flag discrepancies, missing data, or unusual transactions for review.
• Assist with month-end close activities and preparation of financials.
Financial Reporting & Deadlines
• Prepare draft financial reports, including:
o Profit & Loss (P&L)
o Balance Sheet
o Cash Flow statements
• Ensure all supporting documentation is complete and properly stored.
• Upload finalized financials to ProConnect or other designated systems once
approved.
• Ensure monthly financials are completed and provided by the 15th business day of
the month.
• Support cleanup and catch-up bookkeeping projects as assigned.
Client Support & Communication
• Communicate client questions or issues promptly to the Senior Bookkeeper or
Controller.
• Maintain professional, timely, and clear communication standards.
• Document all client communications, tasks, and notes in HubSpot to ensure
continuity.
• Support client onboarding by assisting with data collection and system setup.
Processes, SOPs & Quality Standards
• Follow all established Standard Operating Procedures (SOPs).
• Meet internal service-level expectations and monthly deadlines.
• Participate in quality control and feedback processes.
• Support continuous improvement initiatives by identifying process inefficiencies.
• Collaborate with team members to maintain consistency and accuracy across
accounts.

Qualifications & Experience Required
• Minimum of 5 years of hands-on experience using QuickBooks Online (QBO).
• Strong understanding of bookkeeping principles and general ledger accounting.
• Proven experience with:
o Bank and credit card reconciliations
o Transaction categorization
o Month-end close processes
• Cash & Accrual basis accounting.
• High attention to detail and accuracy.
• Strong organizational and time-management skills.
• Ability to follow documented processes and meet deadlines.
• Comfortable working in a fast-paced, client-service environment.
Preferred
• Experience working in a public accounting or outsourced bookkeeping environment.
• Familiarity with HubSpot or similar CRM platforms.
• Exposure to cleanup or catch-up bookkeeping projects.
• Experience supporting multiple clients simultaneously.
