Job Description: Office and Administrative Coordinator

Location: Old Harbor Office

Status: Full-Time (Non-exempt) Hourly M-F

Reports To: Office & Projects Manager / Executive Leadership

Position Summary

The Office & Projects Assistant supports daily operations of the Old Harbor Native Corporation's Old Harbor office by providing administrative, clerical, and project support. This position helps ensure smooth office functioning, assists with corporate projects, coordinates logistics, and supports communications with shareholders, partners, and community members. The ideal candidate is organized, dependable, and comfortable working in a dynamic, community-focused environment.

Key Responsibilities

Office Administration

  • Greet visitors, answer phones, and provide general customer service.
  • Manage incoming and outgoing mail, deliveries, and correspondence.
  • Maintain organized filing systems-digital and physical-ensuring accuracy and confidentiality.
  • Assist with scheduling meetings, youth gatherings, preparing meeting spaces, and arranging travel when needed.
  • Help maintain office supplies and equipment.

Project Support

  • Assist with planning, coordinating, and tracking project activities across various departments.
  • Support data entry, document preparation, and reporting for ongoing projects.
  • Coordinate logistics for fieldwork, contractor visits, community events, onsite activities, and remote sites like camps on Sitkalidak Island.
  • Maintain project calendars, timelines, and documentation for land use and documents for Old Harbor Native Corporation Settlement Trust Lands.
  • Assist supervisors with special assignments related to community programs, development projects, and corporate initiatives and deliveries to shareholders and community elders

Shareholder & Community Engagement

  • Assist with shareholder communications, mailers, and events.
  • Support cultural, youth, and community-based projects as assigned.
  • Provide courteous support to shareholders and community members seeking information or services.
  • Assist in ongoing projects with the Alutiiq Tribe of Old Harbor.

Finance & Recordkeeping Support

  • Assist with processing invoices, expense reports, and basic tracking of budgets or project costs.
  • Maintain accurate records and assist with compliance-related documentation.

Qualifications

Required:

  • High school diploma or GED.
  • Strong organizational and time-management skills.
  • Basic proficiency with Microsoft Office (Word, Excel, Outlook).
  • Strong written and verbal communication skills.
  • Ability to handle confidential information responsibly.
  • Willingness to learn and work as part of a team.

Preferred:

  • Experience working for an Alaska Native Corporation or tribal organization.
  • Familiarity with Old Harbor community, culture, and values.
  • Previous administrative or project coordination experience.

Working Conditions

  • Position is based in the Old Harbor office.
  • Occasional lifting of supplies or equipment (up to 30 lbs).
  • May include occasional field or community event support.
